Health & Safety

It is compulsory that all companies with a stand complete the Health & Safety Form by 28th August 2026.

As an exhibitor, you have a legal and moral duty of care for the safety of anyone who may be affected by your activities. You are ultimately responsible for all aspects of safety on your booth during the build-up, open period and breakdown of the show.

Advanced Therapies Europe 2026 adheres to the g-Guide, the global guide to minimum safety standards. Please ensure you've read and understood this document before completing your Health and Safety Declaration.

14.08.26	Catering	InterContinental Barcelona	InterContinental Barcelona is the official and sole catering supplier for Advanced Therapies Europe 2026 and holds the exclusive right to supply all food and beverages consumed on-site. This policy is in place to ensure that strict health and safety standards are maintained throughout the event. If you wish to bring your own food and/or beverages on-site, you must obtain prior permission from the venue, complete the necessary forms, and pay any applicable corkage fees. Services include freight forwarding, deliveries, lifting and storage. InterContinental Barcelona is unable to accept deliveries from exhibitors. Children

During build-up, open days and breakdown, children under 16 are strictly forbidden to be at the event. There are no exceptions to this rule.

Cleaning

If your contract includes an exhibition stand or Innovation Pod, a light cleaning service will be provided each evening. This service includes wiping down cabinet surfaces and vacuuming the floor only.

Damage & Loss

Neither the organisers or the venue accept any responsibility for damage or loss of any properties introduced by the exhibitors and/or their agents/contractors. Exhibitors are especially warned that the exhibits are the sole responsibility of the exhibitor to whom they belong.

Exhibitors should arrange their own insurance against all risks. The strongest possible precautions against pilferage should be taken at all times.

Please do not fix, screw or drill into the venue’s existing walls or floors. If attaching to the venue columns/walls, please use white-tac only. Charges will apply to any associated damages, as well as paint spillage and failure to remove large items of rubbish.

Exhibitor with a backwall provided by the Organisers are also reminded they will be charged for any damages to their booth through inappropriate fixings, painted panels etc.

Data Protection

When using lead retrieval tool to scan visitors’ badges and collect their personal data (as they disclose and consent to when registering) the exhibitor becomes the Data Controller and is then responsible for the safe and legal use and storage of personal data.

Visitors can – and may – ask to see your data protection policy. Visitors are also within their rights to decline to have their badge scanned by any exhibitor. Further information regarding data protection can be found on the Information Commissioners’ Office website https://ico.org.uk/

Delivery deadlines to the warehouse

EU shipments: 3 working days before the event

Please ensure that Kuehne and Nagel are notified and all applicable handling fees are paid before sending any shipments to the warehouse.

Electrics

4foreverything is the official stand contractor for Advanced Therapies Europe 2026.

If your sponsorship package includes a stand, it will come with 1 x 300W power socket as standard. Should you require any additional electrical services, including extra power sockets, these can be ordered through the exhibitor webshop.

Please ensure all electrical requirements are submitted by the relevant deadline to guarantee availability onsite.

The furniture provided on your stand is pictured below. Should you wish to add furniture to your stand, please order through the webshop at an extra cost.

Insurance

You are reminded that in accordance with your contract terms & conditions you must take out adequate exhibition insurance cover. Please read your exhibition booth Terms and Conditions sent out with your booth contract. Public Liability should be a minimum of £2m for exhibitors and contractors.

You have the option to be included under Clarion's Exhibitor Protection Scheme or you can arrange your own suitable cover.

Whilst we take every precaution, we are not responsible for damage or loss to booth fittings and exhibits and cannot accept any responsibility for damage or loss of any properties introduced by the exhibitors and/or their agents/contractors. We advise you take out adequate insurance to cover your property.

Cancellation & Abandonment insurance to cover your costs and expenses is also highly advisable should you not be able to attend due to adverse weather for example. This is a specialist form of insurance normally only found on a separate Exhibition Policy.

Rigging

Rigging is not permitted on your stand.

Security

The exhibitor is responsible for all valuables on their stand.

Please ensure you have personnel on your stand at all times or purchase and make use of lockable cupboards. You can order cupboards via the webshop.

Smartscan

Smartscan is included for all exhibitors as part of your package. It is a valuable lead capture app that can be used onsite and activated through the Exhibitor Hub.

Each exhibiting company will receive one activation code, which can be shared with your team.

Space Only Stands

Please note that space-only and free-build stands are not permitted at this event. This is strictly a shell scheme event,

Smoking

Smoking is not allowed anywhere inside the venue aside from our designated smoking areas. This also applies to e-cigarettes and vaping.

A basic stand clean will be carried out before the event opens.

Waste Removal

All waste must be fully removed from your stand during breakdown. This includes, but is not limited to, promotional materials, flyers, brochures, packaging, and any other exhibitor-generated waste.

Failure to clear your stand completely may result in dilapidation charges being applied.

IMPORTANT: Any waste left behind that requires removal or additional cleaning will incur a £1,000 re-charge to the exhibitor.

Important information

Stands must be cleared by 17:30 on Wednesday 9th September.
All waste must be fully cleared after breakdown, including collateral such as flyers, brochures, and other materials. Failure to comply will result in a dilapidation charge from the Organisers. Any waste left behind that requires removal or additional cleaning will incur a £1,000 re-charge to the responsible exhibitor or sponsor.

Cleaning

Initial stand cleaning prior to show opening, including the removal of the carpet's protective plastic covering. This service will be carried out overnight.

So, whether you are a fully-fledged sustainability champion or you are new to the topic, we have collated some useful points and actions that will allow you to succeed in planning towards a more sustainable event at Advanced Therapies Europe 2026 will be held at the InterContinental Barcelona. Printed Material and Collateral:

Are there more sustainable options available?
Research the materials you are going to use on your booth – can they be safely and effectively used again?
Reduce your printed literature by switching to digital options e.g., in-booth displays that can be easily cleaned and/ or handouts made available by USB or email.
Minimise the amount of printed material distributed and reuse excess marketing material after the event e.g. don’t put a date on printed items so they can be used the following year.
Take home what you don’t use!
Consider using local suppliers – this supports local businesses and reduces your carbon footprint.
Use paper packaging rather than plastic.
Use recycled paper wherever possible or FSC certified paper.

Energy and Resources Consumption:

How many devices you are powering on your booth – are they all necessary?
Manage energy consumption by incorporating low voltage LED lighting into your plans.
Minimise the use of water wherever possible.

Transport:

Encourage all stakeholders to use public transport rather than taxis.
Encourage car-sharing by setting up a car share scheme; report how many miles and how many journeys saved – can you incentivise this?
Team up with a carbon offsetting company and devise a mechanism for your all your stakeholders to get involved with carbon offsetting – there are lots of different companies including a UN programme.

We encourage exhibitors to use and contract Advanced Therapies Europe 2026 recommended suppliers. Working with companies that are already collaborating with the event/business can reduce your environmental impact because you will benefit from shared transport/labour.
